We are currently seeking two enthusiastic and detail-oriented AO3 Administration Officers to join our Finance Hub team. This is an excellent professional development opportunity to build your expertise in school finance. These full- time roles are available for immediate start and will continue until 30 September 2026, unless otherwise advised.

The positions are based at the Metropolitan South regional office in Mt Gravatt, with potential flexibility to work from Ipswich.

About the Role:

The Finance Hub is responsible for delivering financial processing, support, and advice to schools under a formal fee-for-service agreement.

Reporting to the Financial Advisory Services Manager, this role involves working closely with multiple schools, particularly Principals and Business Managers, that are part of the Hub within the region. The successful applicant will take primary responsibility for the day-to-day financial processing of Hub schools in OneSchool, ensuring compliance with financial policies and procedures.

Responsibilities include:

  • Perform financial processing in OneSchool and SBS Finance, including invoice payments, purchase requisitions, purchase order maintenance, corporate card reconciliations, bank reconciliation, and receipting.
  • Manage accounts receivable, including receipting, invoicing (individual/bulk), cancellations, and parent refunds, as well as asset creation and disposal, journal preparation, and BAS review with GST corrections.
  • Coordinate key financial activities such as end-of-term Systems Evaluation Checklist completion and preparation of budget adjustments for Principal approval.
  • Provide monthly financial reports for Principal review, ensuring high audit standards, and assist with Control Self Assessments, School Financial Data Collection, and other acquittals.
  • Support purchasing, procurement, and strategic financial planning for Hub schools in collaboration with Senior Finance Officers.

About You:

  • Strong knowledge and experience with OneSchool is essential.
  • Prior experience as a Business Manager or Administrative Officer with a finance focus is highly desirable.
  • Ability to work independently, set priorities, manage workflows, and meet processing deadlines.
  • Familiarity with Department of Education policies, procedures, and financial audit requirements.
  • Strong communication skills, with the ability to clearly explain financial concepts to Hub school staff.
  • Proficient in technology, particularly in using Microsoft Teams effectively.
