What you will be doing:
• Manage the administrative functions including managing the corporate card, email, preparing meeting agendas and minutes, briefs and other documents through the provision of high quality confidential secretarial support.
• Proactively manage and coordinate the Executive Director's diary, including thepre-preparation and organisation of meetings, conference, seminars, accommodation and travel arrangements.
• Assist the Executive Director and Executive Support Officer with project work asrequired and provide high quality advice to staff at all levels on procedures and administrative standards.
• Work closely with the Executive Support Officer to provide high quality executive support to the Executive Director and Directors.
• Liaise and build strong relationships.
• Screening and interpreting telephone calls and redirecting enquiries to appropriate areas.
• Support and help maintain a workplace safety culture by ensuring that all policies and practices concerning Workplace Health and Safety are applied and a part of day to day operations.
The skills you will need include being able to:
• Have demonstrated ability to provide high level administrative support and services to a senior executive to support achieving the organisation's goals.
• Have proven ability to successfully coordinate multiple activities within tight timeframes, under pressure and with competing priorities.
• Have proven ability to successfully build and sustain positive relationships with team members, stakeholders, senior management and clients.
• Maintain confidentiality proactively analysing administrative service and system issues, identifying practical and creative solutions and have successfully implemented them.
• Have demonstrated ability in using high level communication and interpersonal skills to achieve outcomes and influence stakeholders.
