About the Team
The Paediatric Intensive Care Unit (PICU) is a special ward for children and young people who are seriously ill or recovering from major surgery.
About the Role
- Organise and manage administrative tasks professionally whilst multi-tasking, including screening incoming calls and email management.
- Coordinate and maintain the PICU Junior and Senior Medical staff rosters in Find My Shift (FMS) in consultation with the Medical Leadership team. Adjust medical staff rosters and on call as required whilst adhering to hospital policies and award requirements.
- Export medical rosters from the relevant system to Excel and submit in my-HR to Payroll meeting organisational deadlines.
- Utilise IWFM and my-HR to manage leave requests and record leave in relevant spreadsheets to assist with the preparation of Nursing and Medical rosters ensuring accurate staffing levels.
- Support the Associate Nurse Unit Manager (A/NUM) in transferring and validating the nursing roster from V-roster into IWFM, ensuring data integrity. Review the IWFM daily flow sheets with the A/NUM to manage roster changes.
- Maintain the integrity of the Payroll and HR systems by providing timely escalation of identified issues.
- Run my-HR reports fortnightly to verify accuracy of payroll data and identify discrepancies.
- Support the PICU Medical team with the preparation and submission of AVACs/Med AVACs by verifying rostered and worked hours in a timely manner.
- Generate the nursing Allocation Book fortnightly.
- Manage general enquiries from staff in relation to the medical and nursing rosters and Payroll queries.
- Assisting with other tasks within PICU where appropriate as directed by the PICU Administration Team Leader
