What you'll do
- Coordinate the staging of meetings, functions, conferences and training activities. Includes generating agendas; collation and distribution of papers; recording, writing and distribution of minutes; and organising resources and catering.
- Use knowledge and data retrieval skills to respond effectively to enquiries and complaints from clients and staff, either in person, by telephone, or through written correspondence. The position is responsible for re-directing/escalating customer requests as appropriate, including response to urgent situations, and for screening operational areas from unnecessary interruption.
- Manage data and records accurately and in a timely manner in accordance with established procedures and systems.
- Carry out day-to-day administrative and operational support activities to support effective delivery of client services. May include reception, phone, receipting deliveries and requests for service, maintaining information and records systems, distributing mail, managing office supplies, assisting pack/dispatch activities, processing of paperwork/claims, routine purchasing, and staff travel booking.
About you
We are searching for someone who has:
- Ability to undertake a range of client service and administrative duties while balancing work priorities and meeting deadlines with minimal supervision.
- Ability to work effectively both independently and as part of a multidisciplinary team in a changing workplace.
- Competence, efficiency and attention to detail in the use of computers and contemporary software packages, including keyboard skills, word processing, spreadsheets and databases.
- Ability to communicate and liaise effectively with internal and external clients, including the ability to respond effectively to enquiries either in person, by telephone, or through written correspondence.
- A commitment to continuous quality improvement.
