Executive Assistant
Industry and Infrastructure Development; Coordinator General; Brisbane City
As Executive Assistant you will be responsible for providing high-level secretarial and executive support to either the Assistant Coordinator-General or two Executive Directors in the Industry and Infrastructure Development Division, including diary management, organising meetings, and proactive administrative support. You will work with the Coordinator-General’s office and other executive assistants in undertaking the role. Organisation and flexibility will be key skills as will the ability to operate in a calm manner in a fast-paced and busy team environment.

• Provide confidential secretarial and executive support to either the Assistant Coordinator-General or two Executive Directors in a fast-paced and sensitive working environment, including the management of the Executive Directors' appointment diaries and emails and coordinating requests, meetings, and other events.
• Consult and negotiate with executive management and other senior officers to resolve any matters as requested by the Assistant Coordinator-General or the Executive Directors, including the resolution of administrative tasks and issues.
• Maintain effective working relationships with the offices of senior executives and external clients and form an effective partnership with the Coordinator-General's office, Business Support Unit and the wider support network, to assist in corporate matters, including correspondence, HR, procurement, and finance activities.
• Develop and maintain effective business systems and processes including managing the information flow within the division and between the IID Division and the department.
• Review confidential reports and executive correspondence.
• Actively participate in and support the development and implementation of divisional projects.
• Organise executive travel arrangements including the planning of itineraries, travel bookings, accommodation, and preparation of expense claims.
