About the Role

  • Manage and coordinate the daily functioning of the relevant Director and Medical Director portfolios in a demanding and fast paced environment, informed by a high level of understanding of the policy, procedures and governance structures.
  • Organise, coordinate and manage the administrative functions for the relevant Director and Medical Director portfolios in a professional manner, including screening incoming calls, email management, diary management, organise travel itineraries, coordinating education and planning days, coordinating recruitment processes and managing an effective records management system/database.
  • Research, prepare and/or coordinate the development of high-level responses to enquiries, correspondence, issues and other documentation to ensure appropriate action and completion of responses within required timeframes.
  • Work autonomously, problem solve and exercise judgement to manage, coordinate and maintain delegated program compliance activities and adhoc initiatives to achieve high quality outcomes.
  • Develop and maintain comprehensive knowledge of Finance and HR policies to support and guide Directors and the Child Development management team.
  • Perform meeting secretariat functions including preparation of meeting packs (agenda, reports etc), minute taking, organising and scheduling meetings, sourcing and organising venues, equipment and catering as required.
