About the Role
In this role, your responsibilities will include:

  • Provide secretarial support to the Project Board and project team including scheduling meetings, travel bookings, preparing agendas, minutes, collating and distributing papers, and monitoring action items.
  • Act as the first point of contact for project including monitoring the mailbox and responding to enquires.
  • Help maintain project documentation, registers, inventories, budgets and presentations.
  • Support project planning, scheduling, and reporting activities.
  • Prepare purchase orders and process invoices for approval and payment.
  • Help with procurement planning and execution in line with Legal Aid Queensland and Queensland Government policies.
  • Participate on procurement evaluation panels to consider proposals and provide recommendations to engage providers.
  • Liaise with suppliers and vendors to obtain quotes, track deliveries and resolve issues.
  • Coordinate asset management activities in accordance with Queensland Treasury's non-current asset policies.
  • Prepare forms related to payroll and systems access for project team members.
  • Help with recruitment planning, temporary contractor arrangements and organising induction.
  • Maintain electronic and hard copy records and manage in accordance with records and information management governance requirements.

How You Will be Assessed
The ideal applicant will be someone who has the following capabilities:

  • You have experience participating on projects and can maintain project and meeting documentation and schedules.
  • You have knowledge of Queensland Government procurement and non-current asset policies. 
  • You write and communicate in a clear, concise and articulate manner and engage effectively with internal and external stakeholders.

Mandatory Role Requirements
There are no mandatory requirements for this position, however a certification/qualification in project management and/or procurement is highly desirable.
