The candidate will support the effective delivery of program governance and administrative processes by providing high-quality secretariat services, maintaining accurate records, and assisting with risk and issue management. They will work collaboratively with internal and external stakeholders to ensure efficient coordination of program activities and adherence to governance standards, while contributing to the preparation of reports and key program documentation.
Key Responsibilities
• Coordinate and provide secretariat support for governance boards and committees, including scheduling meetings, preparing agendas, distributing meeting materials, recording accurate minutes, and ensuring compliance with relevant Terms of Reference.
• Assist with the compilation and maintenance of program/project information, files, and action registers, and support the preparation and presentation of management reports in line with departmental standards.
• Liaise with senior stakeholders to facilitate seamless meeting coordination, ensure timely communication, and foster positive working relationships to support governance and accountability.
What You Will Bring
• Demonstrate analytical, conceptual and problem-solving skills and an ability to coordinate multiple tasks within agreed priorities, timeframes and accountabilities
• Demonstrated experience in providing high-level administration support, including agenda preparation, minute-taking, and meeting coordination.
• Strong organisational and administrative skills with the ability to manage multiple priorities in a fast-paced environment.
• Excellent written and verbal communication skills, with the ability to engage with senior executives and key stakeholders professionally.
• Proven ability to maintain confidentiality, accuracy, and attention to detail in handling governance and committee-related matters.
• Proficiency in Microsoft Office Suite and other relevant digital collaboration tools to support meeting setup, coordination and document management.
