Your new role:

This role provides timely, accurate and high-quality administrative support to the Specialist Outpatient Department, ensuring the smooth coordination of patient services and clinic operations.

  • Coordinate and manage outpatient appointment activities, including bookings, cancellations, waiting lists and follow-up appointments to meet service delivery targets.
  • Deliver high-level customer service to patients, visitors and staff via phone, email and in person, demonstrating empathy, professionalism and confidentiality.
  • Maintain accurate patient records using clinical information systems (e.g. HBCIS, ieMR, PowerChart), ensuring data integrity and compliance with privacy requirements.
  • Support reporting, bulk billing processes and administrative improvements while prioritising workload to meet deadlines in a dynamic healthcare environment.

About you:

We are seeking a motivated and customer-focused professional who thrives in a team-based healthcare setting and takes pride in delivering quality administrative support.

  • Proven experience delivering high-level customer service in a multidisciplinary environment, with a compassionate and patient-centred approach.
  • Strong communication and interpersonal skills, with the ability to build rapport, maintain confidentiality and work effectively with stakeholders at all levels.
  • Demonstrated ability to prioritise tasks, work independently, and use sound problem-solving skills to meet team and organisational needs.
  • Intermediate to advanced computer skills, with high attention to detail and experience maintaining accurate data in client information systems.
