As the Program Officer, you will:

- Perform a range of project and administrative functions to support the team to deliver on project milestones and administrative requirements, including coordination of meetings, travel bookings and itineraries, financial reconciliation, SmartyGrants payment and milestone reporting; team inbox management; recordkeeping, payments, event delivery and preparation of briefing materials using contemporary office software including Excel and PowerPoint.  

- Coordinate the development, maintenance, training and advice of administrative processes, procedures, and use of systems to ensure compliance and the provision of quality support services to the team.  

- In consultation with the Director and Managers, coordinate, prepare and develop project plans, project reporting, briefings, submissions, and ministerial and departmental correspondence in line with governance frameworks and to agreed timeframes.  

- Coordinate the administration of contract development, variations, renewals, and execution for Precinct tenants, including ensuring timely negotiations by monitoring milestone dates, careful perusal, proofreading and quality assurance of the contracts, meticulous record-keeping and actively raising concerns or risks with the Director.  

- Monitor internal and external information requests, create correspondence items for the team, monitor deadlines for correspondence and co-ordinate reporting requests across the team, and liaise, negotiate, and consult with team officers on behalf of the Director to ensure correspondence and reports are completed in a timely manner, with high-quality, relevant responses.  

- Undertake document quality assurance including proof reading project reports, briefings, submissions, and other correspondence on behalf of the project in line with departmental guidelines, governance requirements and project management framework.  

- Create and manage a stakeholder database, liaising and consulting with team officers across the Division to ensure the database is: fit for purpose; records are accurate and checked and updated according to an agreed schedule, as well as on a ‘by request' basis; can immediately generate reports as required for enquiries, events, and other requests; compliant with privacy requirements and legislation.  

- Undertake effective project management and performance activities for the team regarding procurement, human resources, program services, finance, and budgeting.

- Work flexibly and under limited supervision, using a high level of initiative to meet changing business needs and priorities.  

- Be a proactive contributor to Startups, Scaleups and The Precinct team, including research, systems improvement, and hands-on support as required to deliver on key innovation projects for the state.
