About the Division

The Operations Division manages the effective delivery of QRA managed funding programs, including responsibility for overseeing the joint State and Commonwealth Disaster Recovery Funding Arrangements (DRFA) and resilience funded projects delivered by State and Local Government agencies and Non-Government Organisations.

About the Role

  • Coordinate day to day activities of the General Manager including emails, calls, briefing material and other requests efficiently and to a high standard while providing advice on the appropriate course of action within a dynamic and often time critical team environment.
  • Ensure efficient and confidential management of matters requiring the General Manager's attention, determine high priority issues and direct them with relevant background information to the appropriate action officer.
  • Provide executive support (for example, contacts, appointments, diary) for the General Manager and Operations Directors including the preparation of briefing material for meetings, ensuring meeting minutes are distributed and action items completed appropriately.
  • Work flexibly to support the Operations Division with a range of administrative assistance depending on current and changing priorities, assisting peers to ensure a balanced workload across the team.
  • Actively contribute to the development and ongoing improvement of business processes and systems that support the efficiency and effectiveness of the Operations Division in delivery of objectives.
  • Apply relevant policies and procedures to administrative tasks including, but not limited to corporate card, travel claims and gift registers for the division.
  • Work as part of the team to draft, coordinate, monitor and review all requests for information for the Operations Division ensuring quality responses and deadlines are adhered to.
  • Develop and maintain positive working relationships and communicate effectively with internal and external stakeholders.
  • From time to time this role may require outside of hours work as part on an on-call roster; during events some outside of hour's work will be required as part on an on-call roster.
  • This role reports to the Principal Business Performance Officer.
