Executive Assistant To Senior Judge Administrator

The position provides professional administrative, executive secretarial and office management support to the Senior Judge Administrator of the Supreme Court to facilitate the optimal discharge of the responsibilities of the Senior Judge Administrator. The position also performs supervisory and support duties for nine (9) Executive Secretaries to the Judges of the Trial Division of the Supreme Court of Queensland.

- Providing confidential and efficient administration and secretarial support to the Senior Judge Administrator (SJA), including electronic diary management, meetings, appointments and travel arrangements;
- Managing the chambers, including liaising with the SJA's Associate and, during any absence, keeping the SJA informed of any relevant matters;
- Providing efficient and reliable word processing and data entry services to ensure that priorities are met;
- Assisting with correspondence, including the collation of agendas, minutes of meetings and distribution of these to members of the Judiciary and determine actions and priorities and where necessary prepare appropriate replies for consideration and/or dispatch;
- Maintain effective office systems (manual and computerised) which support the SJA;
- Liaising, with appropriate confidentiality, courtesy and sensitivity, on the SJA's behalf with the office of the Governor of Queensland, the Attorney-General, Chief Justice and Judges of the Supreme and District Courts and maintain a good working relationship with Departmental officers, Court staff and the legal profession;
- Providing supervision and support to the nine (9) Executive Secretarial of other Judges of the Trial Division of the Supreme Court, including monitoring and managing their performance, coordinating leave and identifying training needs;
- Advertising of secretarial vacancies (when they arise) and being a member of an interviewing panel/panel chair for any such vacancies.
- A strong understanding of the legal system, legal terminology and the operation of the courts.
- Demonstrated ability to provide a high quality standard of efficient, effective and confidential business support (administrative and secretarial support, diary management, travel and accommodation arrangements and correspondence tracking) to the Senior Judge Administrator of the Supreme Court of Queensland.
- Proven ability to manage time and resources to achieve specific objectives, determine priorities and meet deadlines with a minimum of supervision.
- Demonstrated high level of computer literacy in software applications including Microsoft Word, PowerPoint, Excel and email (Outlook). Also the ability to use a digital dictation transcription system (such as Philips SpeechExec).
- Proven excellent organisational abilities, including an ability to problem solve, establish work priorities, manage multiple tasks, meet tight deadlines, and manage workflows.
- High level interpersonal, oral and written communication skills including liaison and protocols at an executive level, including demonstrated tact, discretion and integrity.
- Well-developed problem solving skills and demonstrated ability to apply creative thinking to develop, recommend and implement strategies to address identified problems and streamline processes.
- Demonstrated professional approach to work and prompt and courteous provision of service with ability to use initiative to work autonomously and the need for confidentiality and the utmost discretion.
- The ability to supervise others including establishing clear directions and objective, and managing and monitoring workflow.
