Your Opportunity
As the Away from Base Claims Officer, you will:
- Reconcile AFB claims against budget allocations, financial records and reporting systems.
- Develop strategies and processes to ensure timely acquittals of Away from Base funding.
- Liaise with the Commonwealth Government to resolve outstanding claims and develop processes and procedures to ensure timely payment.
This position reports to the Manager, Centre for First Nations Training
This is a Permanent, Full-Time opportunity
The position will be based primarily at Cairns however you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities
- Ensure all claims are accurately recorded and match financial statements, identifying any discrepancies and actioning accordingly.
- Input claim details into the financial management system and maintain an organised filing system for all reconciled claims.
- Ensure that all records are up-to-date, easily accessible, and compliant with organisational policies.
- Contact suppliers to obtain outstanding invoices and make payments.
- Follow up on outstanding claims and ensure timely completion and reimbursement.
- Liaise with Commonwealth Government to resolve outstanding queries relating to student claims.
- Ensure supporting documentation is provided to support claims.
- Provide client focused and responsive support and direction to support the objectives of the Away from Base program objectives.
- Resolve operational problems and assist in the development and implementation of initiatives, policies, processes and systems for effective and efficient administration of the Away from Base program.
- Provide financial support including the processing of purchase requisitions/orders, goods receipting, invoice processing, corporate card reconciliation and travel and accommodation arrangements.
- Undertake short term tasks, projects and assignments in accordance with instructions issued and within stipulated timelines.

How you will be assessed
The ideal applicant will be someone who has the following key capabilities:
- Demonstrated understanding of the practical challenges associated with living in, and travelling to and from, remote communities.
- Proven track record and success in undertaking administrative tasks demonstrated through efficient and effective delivery of administrative outcomes
- Displays flexibility and responsiveness and has the initiative, attitude and ability to thrive within a dynamic challenging and changing environment.
- Sound problem solving, time management and prioritisation skills, with high level attention to detail and high competence in using a range of systems, software and tools.
- Well developed interpersonal, listening and communication skills, in particular written communication, the ability to consult with a range of stakeholders and work collaboratively to achieve team and organisational goals.
- Demonstrated commitment in the provision of outstanding client service.
