Working specifically within the Executive Services team, an integral business unit of ODG, you will have high level interpersonal skills to provide support and advice across the department.

The purpose of this role is to assist the Executive Services Manager and other team members to provide timely, accurate and high-quality documentation to the Director-General and Minister on agency-related matters. The position also provides high-level specialist support and management of activities in relation to other administrative processes.

As an Executive Services Officer you will:

  • Provide timely, quality advice, support and training in relation to preparation and flow of highly sensitive briefs and ministerial and executive correspondence.
  • Develop and maintain networks and positive working relationships across the department and with the Minister's Office to ensure effective coordination and liaison occurs.
  • Knowledge of relevant information systems that support executive correspondence and actively contribute to improvement initiatives.
  • Coordinate daily flow of business operations including inward and outward communications and requests for information and manage effective distribution by determining action and priorities.
  • Utilise the MINCOR tracking system to coordinate and progress ministerial and executive correspondence (including meeting papers, briefing materials and travel itineraries).
  • Contribute to the good governance and objectives of the department by reviewing responses to all ministerial, executive and other correspondence to ensure standard of presentation, compatibility and compliance with government policy, procedures and departmental style guides.
  • Assist the Executive Services Manager to implement and maintain systems and procedures, such as quality assurance, information management, stakeholder databases, records management, preparation of reports and any other ad hoc business as needed.
  • Contribute at a high-level to a culture of client service, excellence and continuous improvement.

Your mandatory requirements:

  • Whilst no formal qualifications are required, strong interpersonal and communication skills are a must.
  • You must have a developed knowledge of preparing and coordinating executive documents and have demonstrated experience working within a complex, fast paced, dynamic environment with high pressure workloads and tight deadlines.
  • It is important to note this role may involve exposure to highly sensitive content.
