About the role

As an Administration Officer, you will step into various teams to support service continuity during planned and unplanned staff absences across community‑based, inpatient and executive settings. The position requires adaptability, strong organisational skills and the ability to quickly build effective working relationships.

About you

Our ideal candidate will be someone who can carry out the following key accountabilities in accordance with the Metro North Health's values:

  • Provide reception duties and initial point of contact for the area ensuring that all telephone enquiries are dealt with in a professional, courteous, and timely manner and are directed to the relevant area for assistance or messages given to relevant staff members. This includes answering of telephones from other unattended workstations.
  • Proficient in the use of, or an ability to acquire knowledge of, hospital information systems such as Consumer Integrated Mental Health Application (CIMHA), Hospital Based Clinical Information System (HBCIS), Medirecords, S4/Hana, Kyra – Patient Flow Manager (PFM) etc. Staff are expected to be compliant with the timely and accurate input and collection of consumer related data and information relevant to their work area requirements.
  • Prepare, manage and maintain medical records including requesting, returning and tracking charts on Hospital Based Clinical Information System (HBCIS) as required and in accordance with hospital policies and procedures, filing of paperwork (letters, pathology, consent forms, other forms) according to Hospital Order of Filing
  • Responsible for providing administrative support for Community Clinics including generation of clinic lists via HBCIS, consent forms, chart preparation, process patient billing, photocopying, booking interpreter service as required, ensuring all relevant paperwork is forwarded to treating doctors, clinicians and general practitioners in a timely manner.
  • Plan and record Case Reviews on CIMHA and follow the local business rules.
