About the role,

The Business Support Officer plays a key role in supporting the day-to-day administrative and operational functions of the Corporate Support team. This position is responsible for the efficient, accurate, and timely delivery of a range of financial, human resource, and general business processes that support the effective functioning of the team and broader business unit.

This position reports directly to the Business Manager and offers the opportunity to contribute to continuous improvement initiatives, support effective service delivery, and play an integral part in maintaining efficient corporate operations.

Key responsibilities:

  • Demonstrate cultural capability and/or a commitment to developing cultural capability to ensure an inclusive culture that aligns with the Human Rights Act 2019 and supports departmental programs and community partnerships aimed at preserving cultural connections for Aboriginal and Torres Strait Islander peoples.
  • Organisation and ongoing management of VAQ's eDOCS file paths, ensuring compliance with the General Retention and Disposal Schedule (GRDS).
  • Provide high-level secretarial support to the Executive Director and Directors, assisting with administrative tasks, scheduling, and correspondence to facilitate smooth operations as required.
  • Facilitate prompt invoices as required through SAP, maintaining accurate records and managing financial documentation to ensure transparency and compliance with organisational policies and procedures.
  • Maintain the cabcharge register, record-keeping and issuance of cabcharge vouchers, and processing monthly invoice statements.
  • Effectively manage VAQ assets, conducting regular asset stocktakes as necessary, and ensuring that asset registers are consistently updated and accurate to facilitate efficient asset management.
  • Maintain a comprehensive register for mobile phones/telephones and SIM cards, including the completion of telephone statements as required, to ensure efficient management and monitoring of telecommunication assets.
  • Reconcile fortnightly workforce reports ensuring accuracy and complete financial and HR forms as required.
  • Maintain the WHS register for First Aid Officers and Fire Wardens and assist with HSW audits.
  • Perform additional duties as assigned by the Business Manager.
