As the Executive Services Coordinator, you will provide high-level executive and administrative support to the Executive Program Director, ensuring the efficient coordination of activities and delivery of professional outputs. This role requires exceptional organisational skills, attention to detail, and the ability to manage competing priorities while maintaining confidentiality. Your expertise in preparing high-quality documents, coordinating executive-level communications, and engaging with senior stakeholders will set you apart as a key contributor to the success of the team.
Key Responsibilities:
Document Preparation and Analysis: Research, draft, and deliver high-quality documents, including briefing notes, submissions, reports, and meeting minutes, tailored to diverse audiences and aligned with organisational priorities.
Executive Administrative Support: Manage calendars, organise meetings, and provide confidential support to the Executive Program Director, ensuring seamless day-to-day operations.
Meeting Coordination: Prepare agendas, collate meeting papers, record accurate minutes, and track follow-up actions to support effective decision-making processes.
Stakeholder Engagement: Liaise and communicate professionally with senior executives, departmental offices, and external stakeholders to ensure timely and effective information exchange.
Information Management: Maintain accurate recordkeeping systems and ensure the secure handling of corporate documents and sensitive information.
