Your Opportunity

As the Purchasing Project Officer you will be responsible for:

  • Providing professional advice on procurement best practice and undertake the procurement process for specific projects for a diverse range of goods and/or services for clients.

This position reports to the Purchasing Team Leader.

This is a Temporary, Full-Time opportunity, to 30 June 2027 with the possibility of extension, unless otherwise determined.

The position will be based primarily at Ashmore however you may be required to perform work at other TAFE Queensland campuses.  

Key Responsibilities

  • Procure goods and services effectively and efficiently within the bounds of the Queensland Purchasing Policy and TAFE Queensland Procurement and Purchasing Policy, Procedure, Framework and associated templates, with a regard to cost effectiveness, timeliness, quality, fairness and compliance with specifications and with an emphasis on client satisfaction.
  • Development and structuring of requests for quote and invitations to offer, evaluation criteria and administering the offer process, including the evaluation documentation, negotiation and drafting of contracts and contract management relating to specific projects.
  • Co-ordinate and undertake specific projects as allocated by management including the preparation of recommendations and strategies to facilitate the implementation of the project.
  • Liaise, develop and maintain effective communication links with regional Executive teams, management staff and internal and external stakeholders to identify the requirements of the project and provide regular reports and feedback on project activities.
  • Attend meetings in relation to the Infrastructure projects, co-ordinate the activities of the project team members to enable completion of the project within desired time frames.
  • Manage and update the project schedules of goods register on the relevant platforms.
  • Co-ordinate and prioritise the operational aspects of the project including the preparation of reports, spreadsheets, planning documentation and other written correspondence utilising a range of computer software packages.
  • Exercise a purchasing delegation in accordance with the prescribed delegation, rules and accountabilities for this position.
  • Assist with the development of contract management documentation and advice to ensure contract owners effectively manage supplier performance and contract value in relation to specific projects.
  • Provide high level support to the Purchasing Team Leader and provide support within the Purchasing Team in relation to specific projects.
  • Contribute to the success of transformation and cultural change through promoting and modelling the values of Safety First, Working Together, Focusing on our Customer, Taking Responsibility and Showing Initiative.

How you will be assessed

The ideal applicant will be someone who has the following key capabilities:

  1. Demonstrated ability to undertake and successfully complete Invitations to offer, Requests for Quotations, and buying from arrangements across a broad range of industries and product types, including developing reports and recommendations based on sound and valid criteria.
  2. Demonstrated ability to work as part of a team, including reliability in organising individual workloads to meet deadlines, commitments and client service standards.
  3. Well-developed communication, consultation, liaison and interpersonal skills with the ability to build and maintain positive working relationships with clients, stakeholders, staff and management and to provide advice to the same in relation to the purchase of goods and services, the requirements of the Queensland Purchasing Policy and TAFE Queensland Procurement and Purchasing Policy, Procedure, Framework and associated templates.
  4. Proven skills in the use of various computer software including word processing, spread sheeting, databases and financial management systems, preferably within the context of a purchasing function.
  5. Displays the initiative, attitude and ability to thrive within a dynamic, challenging and changing environment.
