The Project Officer reports to the Senior Program Director, Enterprise Portfolio Delivery Management Office (EPDMO) on initiatives to support the delivery of projects within ITS and the Portfolio as a whole.

This role enables governance through the provision of secretariat support and coordinates reporting for Program and Project governance committees.

This role additionally provides support in project and program assurance activities. The role may be delegated responsibility to implement proposed process changes within the EPDMO, develop and update program and project delivery artefacts or to work with other team members on supporting project related tasks or activities.

Your key responsibilities: 

  • Provide ongoing support to enterprise portfolio, programs and projects through advice, problem solving and analysis.  
  • Identify opportunities for business improvement in PDMO processes and systems.  
  • Support program and project governance committees through the organising and planning of meetings, production of agendas, papers and minutes.  
  • Support the EPDMO in program and project assurance activities to provide independent and objective oversight and recommendations critical to the success of enterprise program and projects.  
  • Maintain effective stakeholder relationships to ensure expectations are understood and managed throughout the project lifecycle.

Technical skills, abilities and cultural capability:  

  • Familiarity with project management methodologies such as Agile, Prince2 and the development of associated project artefacts such as highlight reporting, management of registers including risk, issues and dependency registers. 
  • Intermediate skills with various Microsoft Office applications (Excel, Word, SharePoint etc.). 
  • Familiarity with governance board secretariat functions including agendas, minute taking, actions and coordination of terms of reference and member attendance. 
  • Communicate effectively with persons of various social, cultural, economic and educational backgrounds. 
  • Work in a hybrid team with both remote and onsite working, with contractors, contingent and public service workforce. 

Other skills: 

  • Work independently and follows through on assignments with minimal direction. 
  • Support monthly reporting and achievement of project timelines. 
  • Coordinate the EPDMO and Projects shared Mailbox and Calendar. 
  • Perform other essential duties and tasks specific to the position as required. 
  • Manage governance documentation including action and decisions trackers, terms of reference and timelines for assurance and other governance requirements. 
  • Provide governance and reporting advice and support to Project coordinators within the EDPMO.
