The Project Support Officer position will work in partnership with the team to: • Provide efficient and effective administration and project support to the Transformation and Innovation team. • Coordinate project management support functions to deliver identified key initiatives on time and to a high quality. • Assist in the development, implementation, review and maintenance of internal systems and business processes to support the team members to be effective in their roles.

About the Role

In this role you will deliver quality outcomes for children, young people and families. Your contribution will include:

Project Support

  • Work with the Transformation and Innovation team to deliver effective project support that optimises the efficiency and effectiveness of project deliverables.
  • Assist project officers with the development of project documentation, ensuring alignment with CHQ strategic priorities and objectives.
  • Support the provision of routine and project-specific activities such as process mapping, workshops, consumer engagement and staff interviews, basic research and evaluation, data collection, entry and analysis, and reporting as required.
  • Coordinate project activities such as meeting arrangements, secretariat services and action register management
  • Support multiple projects and tasks with guidance, in a complex environment whilst dealing with competing demands.

Communication and Reporting

  • Demonstrate highly developed communication skills that promote team effectiveness including the management of inbox correspondence.
  • Draft high-quality correspondence/documents including briefing notes, memorandums, emails, as well as presentations and reports, utilising advanced skills across the suite of Microsoft Office (including Outlook, Word, PowerPoint, Excel, SharePoint, Teams and OneNote etc).
  • Strong proof and editing skills with a focus on grammar, style, tone and structure.
  • Provide input into qualitative and quantitative datasets through use of different tools, specifically Microsoft Excel.
  • Build and sustain strong relationships with internal and external stakeholders promoting a customer-focused approach to engagement and supporting a positive brand for the Strategy and Impact team.

Team administration and business support

  • Support ongoing development, improvement and maintenance of the Transformation and Innovation document repository and associated project subsites or databases, including quality assurance and improvement, training, work instructions and promoting contemporary knowledge management across the team.
  • Where required, provide effective coordination of business support across the team including recruitment, payroll, leave, establishment matters, general purpose vouchers, stationery orders and stock control.

  • Develop a positive culture within the team which encourages and recognises high performance, builds leadership capabilities and supports staff to maximise their performance, health and wellbeing.
  • Actively participate in a working environment supporting quality human resources management practices including employment equity, anti-discrimination, occupational health and safety, and ethical behaviour.
