The Executive Correspondence Unit (ECU) coordinates the flow of Ministerial and Executive correspondence and formal briefing note requests prepared for the Minister’s and Director-General’s consideration including distribution, monitoring, quality control, finalisation and reporting.

The Correspondence Officer is required to: distribute, monitor the timeliness of, quality assure and report on Ministerial and Executive correspondence; and liaise with the offices of the Minister, Director-General and the Executive Leadership Team (ELT) to provide high level support services in relation to Ministerial and Executive processes, preferences and the workflow system, Ministerial and Executive Correspondence System (MECS).

As the Correspondence Officer (AO4), you will:
• Register, allocate and monitor the timeliness of Ministerial and Executive correspondence through MECS.
• Quality assure draft Ministerial and Director-General correspondence as well as Deputy Directors-General items on their behalf.
• Provide information, advice and support to officers across DETSI in the preparation of Ministerial and Executive correspondence (particularly in relation to templates, formatting, style and other technical aspects of the documentation) and in relation to key processes, procedures and use of MECS from ECU's perspective.
• Establish and maintain a network of correspondence contacts across DETSI to provide comprehensive, consistent and solution based advice and support.
• Liaise and maintain effective working relationships with the offices of the Minister, Director-General and ELT in providing high level support services in relation to Ministerial and Executive requests.
• Research and draft replies to correspondence on selected issues as required.
• Promote a safe, respectful and inclusive workplace that is free from bullying, discrimination and harassment.

What we are looking for:

• Knowledge of, or ability to rapidly acquire knowledge of, and ability to use MECS to manage high level documents throughout the department.
• Demonstrated ability to edit and monitor briefs and responses to correspondence to ensure compliance with departmental guidelines and standards.
• The ability to build and sustain positive relationships with team members and clients, and to respond under direction to changes in client needs and expectations.
• A sound level of consultative and interpersonal skills including the ability to consult and negotiate on confidential and sensitive matters.
• Personal responsibility for accurate completion of work.
• Commitment and drive to ensure that goals are achieved.

Qualifications
There are no mandatory qualifications required for this role. However, previous experience working in an Executive Correspondence team would be highly regarded.
