Are you a highly organised administrator with a keen eye for detail and a talent for identifying discrepancies? We are looking for an Administration Officer to join our Building Safety and Standards team and play a key role in supporting the contract management of service providers engaged by the QBCC. This is a unique opportunity to contribute to a newly established team, where you'll review service provider invoices, develop team work instructions and support operational delivery. Working closely with the Manager, Rectification Delivery and the Contract Administration and Training Officer, you'll provide essential administrative support that helps deliver safe, trusted building and construction outcomes for Queenslanders.

About the role

As an Administration Officer – Rectification Delivery, you will:

  • Process and review service provider invoices and fees, ensuring accuracy and compliance with contractual requirements
  • Analyse claims and identify potential discrepancies, discounts, or issues requiring escalation
  • Prepare meeting documentation, coordinate meeting administration, and record and transcribe meeting minutes using Microsoft Teams
  • Assist with reporting, information gathering, and day-to-day administrative support for the Rectification Delivery team
  • Support the development of team training materials, work instructions, and operational procedures
  • Liaise with internal stakeholders and contribute to continuous improvement initiatives within a growing team
  • Ensure administrative and contract management activities are completed accurately and within required timeframes.

This position is based in Brisbane and flexible arrangements can be considered upon application, including working remotely at a Regional QBCC office subject to availability.  While the role allows for flexibility in working from home, regular in-person attendance at the QBCC office is a mandatory requirement.

About You

We're looking for someone who brings:

  • Experience processing invoices, payment of fees or similar financial administration activities
  • Strong attention to detail and the ability to identify anomalies and inconsistencies
  • Well-developed analytical and critical thinking skills
  • The ability to work independently while also contributing positively within a team environment
  • Excellent organisational skills and the ability to manage competing priorities and deadlines. 

The following will be highly regarded: 

  • Experience in finance, accounts payable, or related financial administration
  • Knowledge of contractual obligations and compliance requirements
  • Experience identifying issues that require escalation and exercising sound judgement in decision-making.

  3. Describe a process improvement you introduced in an administrative setting (e.g. templates, work instructions) that measurably reduced errors or processing times. Explain how you evaluated both the need for the change and its success.
