About the Role:

In this role, you will contribute to the effective and efficient administrative management of the school by providing relevant and timely support to the Principal and Business Manager.  You will work within existing guidelines to provide basic resolution of problems by reference to established procedure, consulting the Principal or Business Manager for matters that are more complex or non-routine.  Administration roles play a crucial part in ensuring that daily operations run smoothly and effectively.  As such, the School requires capable, organised and efficient administrative staff who are responsive to a continual range of demands and needs from both internal and external sources.

Responsibilities Include:

As the Administration Officer you will have responsibility for the following:

General Administration:

  • Reception Management - ensure the Reception area is well presented and runs efficiently (telephone and counter enquiries).
  • Daymap/One School rollovers.
  • Ordering of stationery – liaising with BM.
  • Other duties, consistent with the duties and responsibilities of the position as directed by the Principal, Business Manager or nominated delegate.

Finance:

  • Centrepay/bank statement deposits – receipt all payments received.
  • Process supplier invoices in accordance with Department of Education policies and procedures.
  • Verify invoice accuracy, coding, approvals, and supporting documentation prior to payment.
  • Monitor accounts payable email inbox and respond to supplier and staff enquiries.
  • Reconcile supplier statements and investigate discrepancies.
  • Prepare and process payments within required timeframes.
  • Maintain accurate financial records and filing systems.
  • Assist with month-end and year-end financial processes.
  • Ensure compliance with procurement, purchasing, and financial management requirements.
  • Liaise with staff and suppliers regarding purchase orders, invoices, and payment status.
  • Monitor outstanding invoices and follow up on unresolved issues.
  • Generate financial reports as required by management.

Enrolment Data Entry:

  • Enter and maintain student enrolment information in OneSchool and other departmental systems.
  • Verify enrolment documentation for completeness and accuracy.
  • Process new enrolments, transfers, and student withdrawals.
  • Update student demographic, contact, medical, and emergency information.
  • Ensure student records comply with Department of Education policies and privacy requirements.
  • Assist families with enrolment procedures and documentation requirements.
  • Liaise with schools, parents/carers, and departmental staff regarding enrolment matters.
  • Monitor and maintain data integrity within student management systems.
  • Prepare enrolment reports and statistics as required.
  • Maintain secure and confidential student records.
  • Support census and enrolment verification processes.
  • Respond to enrolment enquiries from parents, carers, and community members in a professional and timely manner.

It would be highly desirable to have the following skills and experience:

  • High level of accuracy and attention to detail.
  • Strong organisational and time-management skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in Microsoft Office and Department of Education systems.
  • Strong communication and customer service skills.
  • Ability to work independently and as part of a team.
  • Demonstrated ability to prioritise competing tasks and meet deadlines.
