Parliamentary Services is seeking a professional, organised and community-minded Assistant Electorate Officer to join the Burnett Electorate Office. This role supports the Member and Electorate Officer in delivering high-quality services to constituents, managing office administration, and assisting with community engagement activities across the electorate.

Key Objectives

  • Provide high-quality administrative and support services to the Electorate Office.
  • Assist constituents by responding to enquiries and helping resolve concerns.
  • Support the efficient day-to-day operations of the electorate office.
  • Maintain accurate records and financial administration processes.
  • Contribute to community engagement and communication activities.

Your Role

  • Respond to constituent enquiries via phone, email and in person, providing timely and professional assistance.
  • Manage and track constituent correspondence, ensuring enquiries are recorded and actioned appropriately.
  • Provide administrative support including data entry, record keeping, filing and document management.
  • Assist with financial administration, including processing invoices, reconciling expenditure and maintaining financial records in accordance with Parliamentary Services requirements.
  • Maintain accurate databases and office systems.
  • Assist with diary management, scheduling appointments and coordinating meetings.
  • Prepare correspondence, reports and briefing materials as required.
  • Support the delivery of community engagement activities, including events, meetings and stakeholder visits.
  • Assist with the preparation and distribution of e-newsletters and other community communications.
  • Monitor and maintain office supplies and general administrative systems.
  • Build positive relationships with constituents, community organisations and key stakeholders.
  • Provide general support to the Member and Electorate Officer as required.

What We're Looking For

  • Strong customer service and communication skills, with the ability to engage professionally with a diverse range of people.
  • Excellent administrative, organisational and time management skills.
  • Experience in finance, bookkeeping, accounts administration or a related area would be highly regarded.
  • High attention to detail and accuracy, particularly in data entry and financial record keeping.
  • Ability to manage competing priorities and meet deadlines in a busy office environment.
  • Strong computer literacy and confidence using a range of digital systems and Microsoft Office applications.
  • Ability to work independently, exercise sound judgement and demonstrate initiative.
  • Commitment to maintaining confidentiality, professionalism and integrity.
