The Project Officer will manage all aspects of secretariat support for the suite of executive forums sponsored by Queensland Health’s (QH’s) Health Service Chief Executive (HSCE) Forum. This position will engage professionally and deliver high-quality, timely, reliable, and flexible support to these executive groups will facilitate their success as collaborative entities, their influence and advocacy, and positive outcomes for the health system.

About the Team
The HSCE Forum Office supports the HSCE Forum and ten executive forums to operate effectively as mechanisms for collaboration, engagement, influence, and sharing of successes and challenges across Queensland Health. The Forum Office facilitates the forums to plan and prioritise their meeting and work programs, engage key stakeholders, coordinate action and information finding, and escalate concerns. The Office plays a key role in identifying shared and emerging areas of opportunity for consideration by HHSs, the Department of Health, and others. We are a key and trusted aggregator of information and relationships within Queensland Health.
About the Role
In this role you will deliver quality outcomes for children, young people and families (Leader of Self) in accordance with the Children's Health Queensland Leadership Excellence Framework and the Queensland Public Service and the CHQ values. Your contribution will include:
- Lead and manage secretariat functions for the HSCE Forum, executive director forums, and other high-level meetings by organising and scheduling meetings, and arranging meeting venues, equipment, stationery, and catering as required.
- Prepare a range of documents (agendas, minutes, correspondence, etc.) to facilitate forum effectiveness, including their meetings, communications across QH, and wider engagement, ensuring accuracy, quality, and timeliness.
- Coordinate delivery of forum action items, prioritising clear communication of expectations, recognition of common issues/interests across the suite of forums, and meticulous record keeping.
- Maintain a range of reference information for each forum including MS Teams channels, contact lists, email distribution lists, action registers, HSCE Forum Office intranet site, and others.
- Develop and facilitate strong and outcomes-focused relationships with forum chairs, members, and other key stakeholders.
