Education Document Controller
RTO
QFD is a registered training organisation (RTO) provider of nationally recognised training that has been registered by the Australian Skills Quality Authority (ASQA). The RTO unit provides quality assurance to ensure the department's compliance against current vocational education and training legislation and the Australian Qualifications Framework for registered training organisations when delivering both nationally accredited and non-accredited training and assessment to operational QFR and RFSQ staff and volunteers. This will contribute to the effective organisational requirements in the implementation of training, assessment and evaluation strategies to meet best practice guidelines and standards and improve the department's operational capability to better respond to community impact during emergency events.
Reporting to the Manager, you will provide administration and project support for a variety of initiatives and activities to maintain and improve the level of adherence and best practice with the RTO compliance framework to ensure QFD's RTO obligations under the regulatory standards. You will work closing with key stakeholders, trainers, assessor and students to monitor and conduct effective business processes to meet service delivery and project deliverables.

The Queensland Fire Department (QFD) provides fire prevention, preparedness and response services to fire in the built and landscape environments, as well as scientific and specialist capabilities to Queensland communities. The QFD provides a multi-hazard emergency response, including road crash rescue, bushfire, hazardous material, technical and vertical rescue, severe weather incidents, remote and swiftwater rescue, and provides a number of functions supporting community safety outcomes.
The department encompasses Queensland Fire and Rescue (QFR), Rural Fire Service Queensland (RFSQ), as well as the broader department which work together to pre-empt, prevent, mitigate and manage the consequences of fires and other emergencies on Queensland communities and support our large volunteer membership across the state.

* Knowledge and/or experience in record and document management and retention principles and systems.
Your key accountabilities
Your part in the ongoing success of our department, in supporting key frontline services will see you responsible for a variety of work, including, but not limited to:
* Maintain an effective system of document control including version control, document history and ensure all controlled documents meet standard templates prior to publication.
* Develop, implement and maintain procedures, systems and templates that provide for best practice records and document management, including training staff in document management processes.
* Maintain templates, documents, presentations, policies, procedures, forms and the publication of materials in a web environment for the dissemination of training information and quality documentation.
* Liaise and develop consultative relations with internal and external stakeholders to ensure a successful implementation of the RTO records and document management system and processes.
* Ensure document control and records management systems are working efficiently and effectively and recommend options for continual improvement of records, document and file management operations.
* Assist in the preparation of correspondence, presentations, briefings and reports in line with departmental requirements.
* Assist with RTO compliance audits and reporting, and systems content and administrative tasks as required, to support unit objectives.
* Contribute to the effective management of the unit by adhering to relevant financial management and human resource practices and contribute to business planning activities.
