Your Opportunity

As the Board Secretary, you will be responsible for:

  • Leading all aspects of the secretariat functions and provide high level, confidential support to the Board.
  • Being the principal contact for Board members and key liaison between stakeholders.
  • Contributing to strategic projects and initiatives led by the Office of the Chief Executive Officer.

This position reports to the Chief Executive Officer.

This is a Permanent, Full-Time opportunity.

The position will be based primarily at Mount Gravatt campus however, you may be required to perform work at other TAFE Queensland campuses.  

Key Responsibilities

  • Providing high-level secretariat support to the TAFE Queensland Board. This includes, but is not limited to:
    • attendance at all Board and sub-committee meetings
    • preparing and distributing agendas, minutes and actions
    • co-ordinating the finalisation of board and sub-committee papers
    • co-ordinating all meeting logistics including any travel and expenses
    • development of the Board’s Forward Work Plan each calendar year in consultation with the Board Chair and Chief Executive Officer
    • annual review of all board policies including the Board Charter, Board Reimbursable Expenses and Remuneration Policy, Delegations of Authority and Reserved Powers, Committees’ Terms of Reference and Internal Audit Charter
    • maintaining a Register of Conflicts of Interest and Declarations of Related Party Transactions for all board members
  • Developing and implementing secretariat policies, templates and procedures to ensure an integrated approach to secretariat services for the TAFE Queensland Board.
  • Coordinating, researching and preparing high quality correspondence, briefing papers and submissions as necessary to meet the Board’s requirements.
  • Developing and managing multiple relationships with key internal and external stakeholders including the Office of the Minister for Finance, Trade, Employment and Training, Department of Trade, Employment and Training (DTET), industry stakeholders, community, students and staff.
  • Establishing, maintaining and continually improving the effective flow and impact of communication between the Board and Chief Executive Officer, the Minister’s office, within DTET, the community and other key state, national and international stakeholders.
  • Manage the operational arrangements for the Board including financial management.
  • Work across teams to ensure alignment between key strategic and operational reporting for the Board.
  • Maintain key corporate documents such as records of decisions, ensuring statutory reporting requirements are met, including provision of board papers and minutes to the Queensland Audit Office.
  • Assist in the appointment process for board members of Aviation Australia and the CEO, TAFE Queensland. 
  • Contribute to the success of transformation and cultural change through promoting and modelling the values of Safety First, Working Together, Focusing on our Customer, Taking Responsibility and Showing Initiative.

How you will be assessed

The ideal applicant will be someone who has the following key capabilities:

  • Proven ability to provide high level secretariat support in a large and complex work environment.
  • Excellent written and verbal communication skills with the ability to influence and negotiate with senior management and key external stakeholders.
  • Demonstrated personal integrity and ability to communicate complex, sensitive and / or political issues successfully to various audiences with tact, diplomacy and judgement while maintaining complete discretion and confidentiality.
  • Proven ability to prioritise and manage high volumes of work, varying workloads and interruptions in a fast-paced work environment.

Highly Desirable Requirements

  • Experience in undertaking board secretariate duties for Queensland Government statutory bodies, authorities and/or Government Owned Corporations.
