About the role

Reporting to the Director, Metro North Public Health Unit, the Executive Assistant provides comprehensive, high‑level executive and administrative support to enable the effective operation of the Director's office. The role works with a high degree of autonomy and initiative, acting as a trusted intermediary between the Director and internal and external stakeholders.

Key responsibilities include managing the Director's diary and correspondence, coordinating meetings and governance activities, preparing agendas, minutes and reports, and maintaining effective office systems and records management practices. You will liaise with senior leaders across Metro North Health, prioritise competing demands, respond to urgent matters in the Director's absence, and ensure the efficient day‑to‑day functioning of the office.

About you

Our ideal candidate will be someone who can carry out the following key accountabilities in accordance with the Metro North Health's values:

  • Work with a high degree of autonomy using initiative and judgement to resolve immediate problems and make decisions in the absence of the Director, in situations where precedence has not been established and procedures have not been defined when dealing with urgent requests.
  • Provide high level confidential secretarial and administrative support to the Director. This includes liaison with senior management groups and maintaining effective communication channels with various stakeholders and key clients.
  • Coordinate the efficient functioning of all meetings as required by the Director, including preparation, coordination and distribution of agendas and information for meetings, conferences and committees. In addition; arrange venues, catering, equipment, teleconferencing, taking minutes during meetings and following up actions arising from meetings and researching and collating information, correspondence and material necessary.
