Your Opportunity
As the Administration Officer you will be responsible for:
- Provide administrative support across the Procurement and Purchasing portfolio.
- Provide receipting support within the Receipting Team.
This position reports to the Receipting Team Leader.
This is a Permanent, Full-Time opportunity, unless otherwise determined.
The position will be based at a TAFE Queensland campus and can be negotiated.
Key Responsibilities
- Provide accurate and efficient administrative services utilising various office equipment and software packages including word processing, spread sheeting and data input.
- Perform general administrative duties including records maintenance, review, verification and receipt of invoices ensuring compliance and accuracy, monitoring and distributing emails according to established procedures.
- Operate office equipment including computer, telephone, fax and photocopier.
- Manage own workflow efficiently, negotiating priorities for deadlines where appropriate, and tracking correspondence, requesting approvals and providing follow up where necessary.
- Provide courteous, efficient and timely customer services to external and internal clients.
- Respond appropriately to verbal or written enquiries, ensuring that correspondence and enquiries are handled promptly.
- Provide efficient and timely support to the work unit as a member of a work team.
- Undertake research and development on matters relating to business functions.
- Ensure day to day activities align with business operations.
- Perform a variety of other administrative or support services as directed by the manager or Team Leader.
- Contribute to improvement in business processes and practices.
- Contribute to the success of transformation and cultural change through promoting and modelling the values of Safety First, Working Together, Focusing on our Customer, Taking Responsibility and Showing Initiative.
How you will be assessed
The ideal applicant will be someone who has the following key capabilities:
- Ability to utilise computer software packages, operate office equipment, and prepare accurate basic written correspondence, notes and records.
- Ability to follow written and verbal instructions, to work within guidelines and procedures and to provide a quality customer service by determining client needs and taking appropriate action.
- Displays the initiative, attitude and ability to thrive within a dynamic, challenging and changing environment.
- Ability to prioritise and plan workflow to achieve outcomes within identified timeframes.
- Ability to perform duties within a team environment.
