Your Opportunity

As the Secretary, Construction Tech you will be responsible for:

  • Lead all aspects of the secretariat functions and provide high level support to the Centre of Excellence Steering Committee and Sub-committees.
  • Be the principal contact for Centre of Excellence Steering Committee and Sub-committee members and key liaison between stakeholders.

This position reports to the Executive Director, Construction Tech, TAFE Centre of Excellence.

This is a temporary, full-time opportunity, to 31 December 2028 unless otherwise determined.

The primary location for this position is flexible, however you may be required to perform work at any other TAFE Queensland campus. 

Key Responsibilities

  • Providing high level secretariat support to the Centre of Excellence Steering Committee and Sub-committees. This includes, but is not limited to:
    attendance at all Steering committee and Sub-committee meetings
    preparing and distributing agendas, minutes and actions
    co-ordinating the finalisation of Centre of Excellence Steering Committee and Sub-committees papers
    co-ordinating all meeting logistics including any travel and expenses
    development of the Centre of Excellence Steering Committee and Sub-committees Forward Work Plan each calendar year in consultation with the Steering Committee Chair and Executive Directors Centre of Excellence
    annual review of all Centre of Excellence Steering Committee and Sub-committees Terms of Reference and Internal Audit Charter
    maintaining a Register of Ongoing Conflicts of Interest and Declarations of Related Party Transactions for all board members
  • Developing and implementing secretariat policies, templates and procedures to ensure an integrated approach to secretariat services for the Centre of Excellence Steering Committee and Sub-committees.
  • Coordinating, researching and preparing high quality correspondence, briefing papers and submissions as necessary to meet the Centre of Excellence Steering Committee and Sub-committees requirements.
  • Developing and managing multiple relationships with key internal and external stakeholders including the Department of Employment, Small Business and Training (DESBT), National TAFE networks, other National Centres of Excellence, Job Skills Councils (JSC), TAFE Directors Australia (TDA), Unions, industry stakeholders, community, students and staff. 
  • Establishing, maintaining and continually improving the effective flow and impact of communication between the Steering Committee, Sub-committees, the Minister’s office, within DESBT, the community and other key state, national and international stakeholders.
  • Manage the operational arrangements for the Centre of Excellence Steering Committee and Sub-committees including financial management.
  • Work across teams to ensure alignment between key strategic and operational reporting.
  • Maintain key corporate documents such as records of decisions and ensure statutory reporting requirements are met.
  • Contribute to the success of transformation and cultural change through promoting and modelling the values of Safety First, Working Together, Focusing on our Customer, Taking Responsibility and Showing Initiative.

How you will be assessed

The ideal applicant will be someone who has the following key capabilities:

  • Proven ability to provide high level secretariat support in a large and complex work environment.
  • Excellent written and verbal communication skills with the ability to influence and negotiate with senior management and key external stakeholders.
  • Demonstrated personal integrity and ability to communicate complex, sensitive and / or political issues successfully to various audiences with tact, diplomacy and judgement while maintaining complete discretion and confidentiality.
  • Proven ability to prioritise and manage high volumes of work, varying workloads and interruptions in a fast-paced work environment.
