Your Opportunity

As the Registration Officer you will:

  • Coordinate processes relating to registration functions to ensure compliance with Vocational Education and Training (VET) legislation, 2025 Standards for Registered Training Organisations (RTO), Commonwealth Register of Institutions and Courses for Overseas Students (CRICOS) Standards, national and state regulatory frameworks and TAFE Queensland policies.

This position reports to the Manager, TAFE Queensland Product System and Registration Services.

This is a Temporary, Full-Time opportunity for 2 years unless otherwise determined.

The position will be based primarily at Mount Gravatt, however you may be required to perform work at other TAFE Queensland campuses.  

Key Responsibilities

  • Effectively coordinate TAFE Queensland’s registration processes under delegation, in accordance with the relevant legislation, policies and frameworks for RTOs and provide information and support to relevant staff and management to ensure compliance with the same.
  • Provide advice and support to regional registration teams in relation to registration applications and transition processes, including award eligibility, packaging rules, elective selection and third-party arrangements. 
  • Monitor and report to stakeholders including the Academic Board on existing registration of training products and assist in the management of TAFE Queensland’s scope of registration by ensuring timely processing of applications for addition of new and removal of superseded or deleted training products (i.e. qualifications/accredited courses, skill sets, units). 
  • Effectively utilise databases and registers as well as external information sources to research and prepare timely, complex and accurate reports for key stakeholders on the status of the TAFE Queensland’s domestic and international scope of registration.
  • Conduct registration document reviews to ensure compliance with the ASQA registration delegation, relevant legislation and evidence of regional ability to deliver a training product once registered.
  • Configure and maintain curriculum structures in the Student Management System (SMS) and Educational Planning System (EPS).
  • Provide secretariat support for the monthly Registration Officer Network meeting, including preparation of minutes, agendas and action item registers.
  • Monitor the National Register www.training.gov.au and the CRICOS Register to remain abreast of any relevant legislative changes to the National Regulator, VET Quality Framework and CRICOS Standards, and in consultation with management across TAFE Queensland, monitor, review and update the quality procedures in relation registration in order to implement any required changes.
  • Provide advice on registration applications to relevant internal quality managers, product leads and registration officers as well as the Australian Skills Quality Authority (ASQA) to ensure that registration is satisfactorily achieved, compliance is maintained, and TAFE Queensland’s training product registration is implemented in an accurate and timely manner to enable the creation of availabilities.
  • Actively participate in ad hoc projects, relevant committees, network meetings and forums on matters relating to registration quality standards, auditing and compliance to support the strategic direction of TAFE Queensland.
  • Contribute to the success of transformation and cultural change through promoting and modelling the values of Safety First, Working Together, Focusing on our Customer, Taking Responsibility and Showing Initiative.

How you will be assessed

The ideal applicant will be someone who has the following key capabilities:

  • Demonstrated ability to utilise both TAFE Queensland and external electronic record keeping systems such as the Student Management System (SMS), the Educational Planning System, the Electronic Content Management System (ECM), the National Register (TGA) and ASQA’s registration system ASQANET or similar electronic record keeping systems.
  • Demonstrated ability to coordinate, review and process domestic and CRICOS registrations including the liaison with internal and external stakeholders and detailed knowledge of legislation, standards and internal and external registration processes required for an organisation to maintain their status as an RTO and International Student provider.
  • Proven ability to organise and achieve quality work outcomes, meet deadlines and function autonomously within a team environment focusing on systemic processes.
  • Displays flexibility and responsiveness and has the initiative, positive attitude and ability to thrive within a dynamic challenging and changing environment and a demonstrated commitment to the provision of outstanding client service.
  • Well-developed interpersonal and communication skills (written and oral) including demonstrated ability to participate in and support liaison, consultation and negotiation with diverse client groups both internally and with external agencies.
