About the Role

  • Manage the relief roster, effectively and accurately rostering and approving annual leave for all staff requiring relief hospital-wide and developing strategies for cost effectiveness.
  • Ensure smooth functioning of the Administrative Relief team by resolving day to day operational issues regarding procedures and staff within the team and initiating or assisting with review of work practices.
  • Promote quality improvement activities throughout CHQ through the analysis, review (and where necessary improvement) of existing work practices and processes and the fostering and facilitation of quality initiatives amongst relief staff and across the hospital.
  • Manages the recruitment of staff, including casual, temporary to the relief pool including acting as Contact Person and Panel Chair, coordinating the entire process of recruitment using Queensland Health legislation, policies and guidelines relating to recruitment and selection.
  • Manage the on-boarding, training, development, and performance of relief staff by undertaking the Performance Appraisal & Development planning processes.
  • Maintain and manage a performance feedback program for Administrative Relief staff to evaluate hand over programs, training manuals and to identify opportunities for improvement.
  • Support Senior Administrative staff within the organisation with the compilation and maintaining of operational manuals, training plans, handover documentation and orientation “on boarding” programs for administrative staff.
  • Support Administration Services to improve data integrity by providing statistical data, auditing and compiling useful reporting mechanisms to improve data integrity.
  • Ensure administrative relief staff are appropriately trained in relevant departmental records/information systems, legislation and procedures.
  • Engage, consult and negotiate with clients and staff of all levels of the organisation to ensure effective, efficient relief is provided to all areas that require administrative support.
  • Undertake cost centre management providing advice to the Director, Administrative Services on matters of staffing and budget.
  • Maintain integrity of payroll systems by providing timely and correct data in relation to rostering, movement forms, leave forms and exception reports.
