Your new role:
As the Administration Officer within Maternal Fetal Medicine, you will play a key role in supporting women with high-risk pregnancies by ensuring the smooth coordination of appointments, waitlists and specialised services through efficient and compassionate administration, including:
- Coordinating specialist scan and counselling bookings for Maternal Fetal Medicine patients.
- Managing appointment scheduling, cancellations, waitlists and referrals using HBCIS/ESM systems.
- Ensuring patients are booked within clinically required timeframes in line with Queensland Health policy.
- Providing high-level customer service with empathy, professionalism and confidentiality.
- Supporting clinicians through effective utilisation of available booking times.
- Responding to enquiries from internal and external stakeholders in a timely and professional manner.
- Working collaboratively within a multidisciplinary team while also operating independently when required.
- Contributing to continuous service improvement and maintaining compliance with Queensland Health policies and procedures.
About you:
You are an organised and proactive administration professional who thrives in a busy healthcare environment and enjoys delivering exceptional customer service, with:
- Previous experience in healthcare administration, appointment scheduling and waitlist management.
- Strong working knowledge of office procedures and administrative processes.
- Experience using HBCIS/ESM systems, with KARISMA knowledge highly regarded.
- Excellent communication and interpersonal skills with the ability to build strong stakeholder relationships.
- The ability to prioritise competing workloads and meet deadlines in a fast-paced environment.
- Strong problem-solving skills and the ability to work both autonomously and within a team.
- A high level of attention to detail, professionalism and confidentiality.
- A commitment to quality service delivery and continuous learning.
- Previous exposure to Maternal Fetal Medicine or women's health services highly desirable.
