The Executive and Branch Support Officer provides high high quality, professional and well-coordinated executive, administrative, correspondence, and program support services to the System Planning Branch, SPPD, Department of Health. The role contributes to the effective operation of the Executive Director's office and the broader Branch.
What you'll do
As the Executive and Branch Support Officer, you will coordinate meetings, including agendas, papers and technology, and provide support before, during and after meetings. You will act as a key contact for the Executive Director, managing priorities, enquiries and sensitive information with discretion and professionalism, while delivering high-level administrative and program support across the Branch. This includes providing advice on HR, IT and general administration, and using corporate systems to process financial, HR, travel and procurement requests.
You will coordinate employee movements, maintain records and organisational information, and support correspondence processes to ensure documentation is accurate, compliant and professional. In addition, you will assist with end-to-end recruitment and onboarding activities, including coordinating interviews, liaising with candidates, and facilitating onboarding processes in line with policy and confidentiality requirements.
About you
We are searching for someone who has:
- Well-developed written, verbal and interpersonal communication skills with the ability to engage effectively and professionally with stakeholders at all levels, demonstrating integrity, discretion, tact, ethical conduct, confidentiality, and a strong client-focused approach.
- Demonstrated high-level executive and administrative support capability, including experience providing support to senior leaders and the ability to use a range of corporate information systems relevant to the business functions.
- Proven ability to manage competing priorities and deliver high-quality, accurate work in a fast-paced environment, meeting deadlines and responding effectively to changing and often conflicting demands.
- Strong organisational and problem‑solving skills, with the ability to work autonomously, exercise sound judgement, anticipate issues, and take initiative while also contributing effectively within a collaborative team environment.
- Demonstrated understanding of administrative, governance and correspondence processes within a complex organisation, and a commitment to quality assurance, compliance and continuous improvement.
