About the role
As the Service Line Support Officer, you will be a trusted administrative partner, coordinating complex schedules, managing confidential information, supporting senior leaders, and ensuring the smooth day-to-day operation of the Paediatrics service. You will play a critical role in supporting leadership teams by managing high-level correspondence, coordinating meetings, maintaining records, and providing professional administrative expertise across the service line.
About you
Our ideal candidate will be someone who can carry out the following key accountabilities in accordance with the Metro North Health's values:
- Oversee and manage high level administrative and secretarial functions for the Service Line including the monitoring and distribution of correspondence, briefings and other documentation, preparing correspondence/documents, records management, and maintaining current weekly and daily itineraries/diaries as required for the Service Line Directors.
- Coordinate high level meetings, produce and distribute agendas and minutes as required, follow up and complete action items arising from meetings.
- Use effective communication and interpersonal skills to build and maintain effective working relationships with stakeholders and assist in the resolution of complaints made by patients or the public.
- Perform tasks related to processing vacancies, commencements, terminations, transfers, and promotions.
- Undertake quality improvement initiatives, projects including the development and implementation of policies, procedures, guidelines and prepare materials and conduct training to facilitate effective administrative functions and document management processes.
