The Medical Records Scanning Team Leader will lead and support a dedicated Medical Records team, ensuring the delivery of high-quality, efficient and compliant health information services that underpin exceptional patient care. Fostering a culture of collaboration, accountability and continuous improvement, you will provide leadership, training and operational oversight to optimise medical record management, scanning performance and service delivery across the Hospital and Health Service. Through effective workforce coordination, stakeholder engagement and expert knowledge of electronic medical record systems, you will drive quality outcomes, support organisational priorities and contribute to the ongoing enhancement of health processes.

About the Role

In this role you will coach and support others to deliver for children, young people and families (Leader of Others) in accordance with the Children's Health Queensland Leadership Excellence Framework and the Queensland Public Service and the CHQ values. Your contribution will include:

  • Supervision and manage the staff within the Medical Record department.
  • Lead, encourage and support staff to meet performance and quality expectations.
  • Maintain appropriate staffing levels through management of staff leave request and balances. Coordinate staff rostering including coverage for ADO's, sick leave, approved annual leave and any other leave for the Medical Record Department Staff.
  • Provide ongoing advice, training, auditing and education for the Medical Record Team.
  • Develop and deliver training programs for CHQ HHS staff regarding Medical Record processes.
  • Prioritise medical record scanning and paper workloads to ensure scanning KPIs are met daily, including reallocation of tasks as necessary.
  • Create and update references and resource documents useful for the daily responsibilities of the Medical Record team.
  • Act as the central point of contact of communication for hospital staff and respond to queries and complaints relating to medical records including consultation with relevant staff and managers as required.
  • Ensure daily collection and maintenance of adequate medical record statistics to monitor departmental workload.
  • Monitor and investigate work practices with a view to recommending processes and implementation of systems, which provide utilisation of the department's general service resources.
  • Identify needs for improvement in systems, procedures and strategies and provide suggestions to Manager Records, applying relevant changes once approved and encouraging staff to adapt to changes.
  • Maintain expert knowledge of computer-based departmental applications and systems including the ieMR. Coordinate the handling of any technical problems with systems or equipment by contacting appropriate staff.
