Senior Executive Officer

As the Senior Executive Officer you will provide high quality, effective, efficient and confidential senior executive support and assistance to the Health Service Chief Executive, Children’s Health Queensland HHS, working with a high degree of autonomy and professionalism. You will also provide operational leadership of the Children’s Health Queensland Executive Office. This will include ensuring that executive and business support functions are provided effectively, responsively and to a high professional standard.

About the Team

 The Office of the Health Service Chief Executive incorporates Children's Health Queensland's media and communications, government liaison, official correspondence, Board support and Executive support functions.

Our collaborative, engaging and authentic approach enables us to provide expert and impactful co-ordination, advice and support across our Hospital and Health Service. We are based on the Queensland Children's Hospital campus in South Brisbane, close to South Bank Parkland's facilities and amenities.

About the Role

Support to the Health Service Chief Executive

  • Organising and providing proactive, high-level and confidential executive and secretarial support for the Health Service Chief Executive.
  • Managing and coordinating the administrative function for the Health Service Chief Executive through effective time management, establishing and managing workflows, monitoring important issues and follow-up action when required, and identifying the need for and facilitating the timely preparation of briefing notes/materials for meetings.
  • Maintaining a good working knowledge of current matters/issues relating to the Office of the Health Service Chief Executive and providing advice and assistance to the Health Service Chief Executive, and as required to the Senior Director, Office of the Health Service Chief Executive and senior staff.
  • Creating and sustaining effective working partnerships with internal clients and external organisations and agencies.
  • Liaising and effectively communicating (both in writing and verbally) directly with members of the public, external organisations, personnel at all levels and disciplines within Children's Health Queensland and senior officials in the dissemination of information and decisions with tact, diplomacy, respect and in a professional manner.
  • Examining and researching reports, correspondence and submissions as required for consideration/discussion and taking further action as necessary within pre-determined authority and monitoring timeframes to ensure all necessary actions/follow-up and responses are completed within these timeframes.

Leadership of the Children's Health Queensland Executive Office

  • Leading the management of the Executive Office, ensuring the delivery of effective, timely and professional administrative services for the Executive Leadership Team.
  • Managing staff in alignment with Human Resource policy and practice, including undertaking recruitment, onboarding, performance management and succession planning activities.
  • Providing professional support and guidance to the Executive Support Coordinator and the Executive Support Officers.
  • Leading change management and project management activities within the office.
  • Taking a continuous quality improvement approach, identifying opportunities to improve and innovate the delivery of the Executive Office functions and developing and coordinating the implementation of activities designed to respond to these opportunities.

Other responsibilities

  • Utilising available digital tools to effectively manage workflow and identify and implement opportunities to improve effectiveness and efficiency.
  • Undertaking additional projects, tasks and activities at the request of the Senior Director, Office of the Health Service Chief Executive or the Health Service Chief Executive.
