Admin Team Leader - Surgical Planning and Access

The position of Admin Team Leader, will lead, coordinate and manage the Surgical Planning and Access administrative team to ensure the delivery of efficient, high-quality patient support services. This includes performance management, workforce capability, staff training and development, and the achievement of operational objectives and key deliverables and provide advice and support to CHQ administrative staff by monitoring, reviewing, and improving reporting systems, administrative procedures, processes, & work practices. Support the delivery of efficient booking services for QCH operating suites, the Medical Day Unit, and ancillary services through effective liaison with medical, nursing, and administrative teams.

About the Team
The Surgical Planning and Access team, Division of Surgery, is responsible for coordinating and scheduling elective surgical procedures and enhancing access to paediatric surgical and outpatient services. The team works collaboratively with Queensland Health, Surgery Connect, and other key stakeholders to deliver timely care through initiatives such as the Paediatric Ear, Nose, and Throat (PENT) Pathway and the Surgery Connect Program. The team work closely with clinicians and external providers to support reducing outpatient and surgical wait times whilst maintaining safe, high-quality care Queensland children and their families.
About the Role
In this role you will coach and support others to deliver for children, young people and families (Leader of Others) in accordance with the Children's Health Queensland Leadership Excellence Framework and the Queensland Public Service and the CHQ values. Your contribution will include:
- Supervise and manage administrative support staff responsible to this position including preparation of rosters, management of workloads, organisation of relief where appropriate, performance coaching and development and ensuring duties are completed efficiently and within timeframes.
- Oversee and enhance the administrative operations and resources of Surgical Planning and Access, ensuring the provision of high-quality, efficient, and effective administrative support services
- Resolve day-to-day operational issues regarding procedures and staff within the team and assist with review of work practices by maintaining high professional work standards and seeking ways for ongoing improvement and when necessary, address and solve immediate problems in situations where procedures are not defined.
- Support the Surgical Planning administration team during times of increased workload to proficiently complete functions associated with the wait listing of patients, bookings for procedures/appointments, managing procedure/appointment cancellations, rescheduling and removals from the surgical and medical waiting lists, using the relevant information systems in a timely manner.
- Contribute to process improvement activity and quality improvement activity conducted by the Admin Lead and Nurse Unit Manager, Surgical Planning and Access.
- Build relationships with internal and external stakeholders, using strong communication skills and negotiation skills to understand stakeholders' needs and to deliver a service that meets their needs and policy guidelines.
- Ensure all clinical questions are referred to the appropriate clinical area/clinician or supervisor and that appropriate clinical documentation has been certified by a clinician, in accordance with patient information standards, to facilitate the efficient processing of patient record information and associated correspondence.
- Provide guidance and support to CHQ administrative staff by monitoring and reviewing reporting systems, administrative procedures, processes, and work practices to enhance service outcomes, improve customer service, and support continuous improvement initiatives.
- Co-ordinate meetings including organisation and collation of agenda and provide confidential minute taking. Compile and dispatch correspondence as necessary.
