About your opportunity:
Permanent full-time position available
The Executive Coordinator will provide quality administrative and secretarial support to the Rural Hospitals Service Group Executive team.
Role Responsibilities:
- Provide confidential executive and secretarial support ensuring professional and efficient services are provided to the Service Group Director and Medical Director.
- Production of high-quality documents and records, enquiry screening and diary management including the timely provision of necessary records and documentation required by the Service Group Director and Medical Director.
- Arrange and maintain a diary of meetings and appointments for the Service Group Director and Medical Director and research and collate information, as necessary.
- Examine, evaluate and prioritise correspondence and papers for the Service Group Director and Medical Director's attention, schedule the Service Group Director and Medical Director's commitments and prepare correspondence.
- Draft quality written correspondence and presentations using enterprise systems in an efficient and timely manner practicing effective time management skills by prioritising workflow to ensure strict timeframes are met.
- Act as intermediary between the Service Group Director and Medical Director and others, dealing with inquiries on a wide range of topics. Exercise judgement when necessary to solve immediate problems in situations where precedents have not been set and procedures not defined using discretion and sound judgement.
- Maintain an effective records management system by ensuring documentation for filing is appropriately provided to officer maintaining the Executive Filing System in accordance with Queensland Health Policy.
- Coordinate meetings, produce and distribute agendas and minutes as required.
- Use effective communication and interpersonal skills to build and maintain effective working relationships with stakeholders.
- Arrange travel, accommodation, car hire/transfers for the Service Group Director, Medical Director and other external stakeholders as requested.
- Actively participate in a working environment supporting quality human resource management practices including employment equity, anti-discrimination, occupational health and safety, and ethical behaviour.
Generous remuneration package value up to $110,852 p.a. comprising:
- Salary range of $3380.20 to $3724.00 p.f. (AO4)
- 4 weeks annual leave with 17.5% loading
- 12.75% employer contribution to superannuation.

Candidate Requirements:
- While not mandatory, a relevant qualification would be well regarded, e.g. Certificate III - Business Administration.
- Probation period may apply.
